RiseWell Community Services is seeking a Full Time Administrative Assistant to join our team. The ideal candidate will provide support to ensure efficient operation of the office. Provide ongoing administrative support to Clinic program and staff. Oversee the maintenance of client documentation needed for enrollment in program.
REPORTS TO: Program Supervisor
DEPARTMENT: Clinical Services
Salary: $45,000 Annually
QUALIFICATIONS:
High school diploma and 1 year administrative experience. A valid and clean NY State driver license, fingerprinting, criminal record check, and approval from NYS Office of Mental Health.
ESSENTIAL FUNCTIONS:
- Answer, screen and direct telephone calls
- Schedule appointments for Clinic, make reminder phone calls for next day’s appointments and check insurance eligibility as needed.
- Assist with reviewing, screening, and scheduling intake appointments.
- Provide support to clinicians regarding obtaining treatment plan signatures
- Electronically document rescheduled and missed appointments through a progress note
- Scan documents into the agency’s Electronic Medical Record (EMR).
- Check EMR to ensure all clients’ documentation is active so that their services can be billed for.
- Clerical and typing support to Director of Clinical Services, Associate Directors, Program Supervisor, Clinic Manager and clinic staff as needed, including memos and other correspondence.
- Utilize all agency based IT applications pertaining to this job description in a proficient manner.
- J. Statistics of program
- a. Keep up to date on program census
- b. Run reports to obtain information needed for monthly reports, including Board Notes
- c. Collect information to complete required documentation
- K. Work as part of a multi-disciplinary team
- a. Participate in all staff/clinical meetings
- i. Take meeting minutes
- b. Participate in supervision at least bi-weekly
- Assists in the maintenance of the center and ensure an environment that promotes recovery
- a. Complete all necessary KMS, CPI and other assigned trainings
- b. Attend outside trainings to further develop area of expertise
- Responsible to comply with agency Compliance Plan and False Claims Policy by preventing, detecting and reporting any potential healthcare abuse and fraud. Report any potential non-compliance and comply with all other federal, state and local regulations applicable to this job description.
- Responsible for proficiency in all agency based IT applications
- Perform all other job duties as assigned
